Finn Valley Athletics Club Membership Policy & Data Protection Statement

Thank you for becoming a member of the Finn Valley Athletics Club.  We appreciate your continued support.  Your membership entitles you to the following;

Use of club facilities including the track, changing areas, showers and use of the jogging trail during training and throughout your term as a member of the club. You may also compete under the club name Finn Valley Athletics Club.

Membership Fees

Membership fees must be paid in full at the start of each membership.

 

Competitions

All members must be registered as up to date members of the club to be entered into any competition.  This must be strictly adhered to by all athletes and coaches.

 

Expiry Dates

Memberships are backdated unless where evidence is given of an athlete who has not been involved due to injury and/or being away from athletics over an extended period.  Short term injuries or absences are not accepted and will be backdated per club guidelines.

Expiry date changes will only take place when evidence is produced that an athlete has not been involved/or was away and with the agreement of the club registrar.

Out of date memberships will be backdated to expiry date as per FVAC guidelines

 

Family Memberships

Dependants up to the age of 18 are eligible under family membership.

Underage children of parents may be included in family membership.

Family members over the eligible age who are in continuing education or unemployed must produce evidence of a valid student card or unemployment to be included in a family membership.

Adult siblings within the same family must complete a separate membership form in their own right and are not entitled to join under the same family membership as other adult siblings.

 

Data Protection & Privacy Policy

Finn Valley A.C. is affiliated to the Athletics Association of Ireland (Athletics Ireland). Athletics Ireland is the governing body for the sport of athletics in Ireland, is affiliated to the European Athletic Association (EAA) and is the Member Federation for Ireland of the International Association of Athletics Federations (IAAF) the world governing body for the sport.

On becoming a member, the club will need to collect certain information about you which will include your name, date of birth, gender, email address, address, telephone number, names of the Athletics Ireland affiliated clubs the you are a member of and details of any coaching or officiating licenses you hold (all referred to as Athletics Data). We will also collect the full name and telephone number of your emergency contact(s) nominated by you, as well as details of injuries or medical conditions as provided by you. You may also choose to provide us with other information.

We will collect and process your Athletics Data for the purposes of registering you as a member of Athletics Ireland and administering your involvement in the sport. We will process it on the basis of legitimate interests. The legitimate interests are the interests of registering you as a member and to administer the sport. We will only use your Athletics Data for the purposes of registering and administering your involvement in the sport. You can opt out at any time by notifying us.

We may share your Athletics Data with other athletics clubs for the purposes of competition and event participation. We may share your Athletics Data with athletics partners such as Athletics Ireland, Ulster Athletics, Donegal County Athletics and third-party data managers that we appoint as data processors as part of administering your involvement in sport. We will not transfer your data to any other third parties without obtaining your consent and, where possible, will anonymise your data before sharing.

We will not share any other personal data you provide to us that is not Athletics Data.

All of the personal data we collect from you will be collected, stored and processed in accordance with the Finn Valley A.C. Privacy Policy.

As a member, the club will hold your membership form in hard copy and as automated data (electronic format) which is used to process and manage membership within the club, compile statistical information and inform members through the club’s text messaging and email systems of upcoming events and membership status. This data will be treated in the strictest confidence and held securely in strict accordance with the Data Protection Acts, 1988 & 2003.

Data is held solely for the purposes stated above and is retained for three years after it is ascertained that you are no longer a club member, at which time electronic data is deleted and hard copy forms are shredded. All information is held within the guidelines set by Athletics Ireland.

We continue to review and update our database regularly to maintain accurate data however collection of same is taken from your membership form therefore it is possible that errors in interpretation may occur.  If you should at any time find inaccurate data in any of our correspondence please contact us immediately so that the error may be corrected.

You are entitled, upon request, to be given a copy of your information in relation to the Finn Valley Athletics Club database. There is an administration fee of €2.00 per request which must be given in writing to Finn Valley Athletics Club Registrar, Millbrae, Stranorlar, Co Donegal.
